Job Title: Personal Secretary

Employer: Songea Urban Water Supply and Sanitation Authority (SOUWASA)

Location: Songea Municipality

Duties
• Secretary to the Managing Director and responsible for performing all secretarial duties including word processing, taking dictations and notes, up-keep of diaiy and appointments.
• Ensuring proper office housekeeping of the Managing Director's office.
• Handling all matters that require the highest degree of secrecy.
• Discharging routine matters like drafting of replies to letter as directed by the Managing Director and make decisions on routine matters that need not be referred to the Managing Director,
• Supervising and directing personal secretaries under his/her control.
• Maintaining a diary of appointments for the Managing Director and advising/reminding him about these appointments.
• Taking dictations transcribe by word processing and present an accurate and free from error work of signature.
• Receiving and answering fax/telex/telephone calls/ intercoms, giving information to callers and Circulating information to appropriate officers.
• Filing minutes, correspondence and other documents and maintaining files in secure custody places using laid down office procedures.
• Drafting simple letters and other correspondence of a routine nature, accepting or rejecting invitations, acknowledgements, etc.
• Relaying verbal messages and instructions from the Managing Director to his subordinates.
• Handling delicate matters requiring secrecy.
• Performing any other duties as may be assigned by the Managing Director.

Minimum Qualifications Required, Competency and Experience
• Must be a Female Tanzanian citizen.
• Relevant working experience of at least two (2) years in any reputable organization.
• Computer literate
• Holder of form IVNI with a diploma in secretarial studies from the recognized training institution.
• Good command in English and Kiswahili (Written and Verbal).

Description
Position: Financial Accountant Reporting to: MD

Main duties:
• Oversee the recording and review of financial transactions conducted over a period of time, including:
• Assisting the AP team to ensure that all payments to suppliers and land lords are made with appropriate support and are accounted for correctly;
• Assisting Centralized Back Office (CBO), Ops, Projects and SCM warehouse in ensuring that Capital Expenditure is capitalized accurately and tracker against budget;
• Drafting all tax payments and returns;
• Managing the billing process to the customers.
• Work with the CBO on the month end close process, including:
• Prepare monthly statements by collecting data; analyzing and investigating variances; summarizing data, information, and trends;
• Respond to financial inquiries by gathering, analyzing, summarizing, and interpreting data;
• Review and monitoring of the general leger postings and month end reconciliations;
• Interpreting and communicating key performance indicators and other financial data to non-financial managers.
• Tracking cash flow by recording and reviewing financial transactions conducted over a period of time, including:
• Managing the billing process to the customers and the cash collection from customers;
• Managing bank accounts by tracking payments made and under process to plan cash flow requirements.
• Follow all required controls (e.g. reconciliation, reviews etc.) this includes following all tax and financial policies, guidelines and procedures are designed and implemented to effectively control the business.

Job Title: Project Coordinator
Employer: ICAP
Location: Dar es Salaam Region (1 position) (Tanzania Nationals Only)


Duties:

 Lead and manage all staff working on the community-based HIV prevention project reaching KVP in Dar es Salaam region
 Develop annual and quarterly work plans and supervise implementation at the regional level to ensure all targets are met
 Organize the orientation of the local government authorities and other stakeholders about the community-based HIV prevention project
 Organize the training/orientation of healthcare workers in the selected health facilities on the community-based HIV prevention project
 Liaise with regional authorities and stakeholders as the representative for ICAP’s regional office for technical and supportive guidance
 Participate in the development of the referral network model between the community-based outreach and health facility services
 Coordinate and conduct mapping of hot spots and size estimation where KVP including adolescent girls and young women are found
 Collaborate with organizations for execution of sub-agreements and service agreements
 Supervise the recruitment and training of community outreach workers and lay counselors from peer groups to implement the outreach services.
 Mentor and supervise community outreach workers and lay counselors regularly and frequently during outreach sessions and lead regular meetings
 Ensure adequate data collection and timely, complete and clean reporting of regional data to the central level
 Performing any other duties as assigned by the supervisor


Required Education:
o Medically trained personnel with a Bachelor’s Degree or higher including: BSc Nursing, MD or DDS
OR
o Non-medical personnel with a Master’s degree or higher in the following fields: Public Health (preferred), Sociology, Psychology, Social Work, Gender Studies, or Community Development.
 Required: Minimum 2 years working experience in HIV care and/or HIV prevention with a donor-funded organization. Preferred: experience with community-based and or KVP-focused HIV programs
 Required: Minimum 2 years experience directly supervising/managing a multidisciplinary team, with demonstrated skills in leading teams of public health professionals with experience in developing and executing work plans and budgets
 Required: Familiarity with PEPFAR-funded projects. Preferred: experience with CDC funded projects.
 Flexible to work after normal working hours and weekends at various community locations
 Ability to interact well with all targeted groups and peer volunteers by facilitating a nonjudgmental, nondiscriminatory, and non-stigmatizing environment in the program, to welcome all beneficiaries regardless of their background.
 Demonstrated knowledge on HIV/AIDS prevention, care and treatment, and adherence and psychosocial support programs
 Demonstrated ability to provide strong technical guidance for any interventions related to HIV care and prevention to KVP.
 Ability to work independently and travel extensively to remote areas, including islands
 Excellent written and verbal communication skills with fluency in Kiswahili and English
 Strong computer skills (MS Excel, Access, Word, and Powerpoint at minimum)
 Preference given to candidates already living in the job location
